Time Management - 6 - Daily Schedule

A Daily Schedule is a practical way of keeping track of your day to day activities from the moment you wake up. A schedule will hep you manage your time so that you do not miss appointments or spend too much time on certain activities. Its important to examine your day write down appointments, classes or meetings so that you will be better prepared to handle the day. You will need to buy a dairy with or note book where you will keep all your schedules. Make sure you get a dairy that has columns for time and activities. Also try and get a dairy that’s not too big to carry around.

The first step would be to examine your day making a list of all the things you plan to do. Next to each activity put in the amount of time each activity will take. Remember there are only 24 hours in a day; your total hours must not exceed 24!

Now that you know what you need to do the next step will be to schedule each activity into your diary, showing what time each activity starts and ends.

Certain activities will have specific times, for example an appointment with the dentist. These are the ones you need to put in first. You can then fit in the remaining activities in the free time slots. See example below.

Remember that your days will not always be predictable. There will be days when unforeseen events will happen. For example if some one falls ill and you have to take them to the hospital. This is an emergency and it will definitely disrupt your planned day. In such cases always go back to your schedule and reschedule missed activities. It may mean cancelling some activities or lessening time for others. If you can’t make a set appointment please make sure you inform all those involved because you could end up messing up some else’s time management.

Some appointments or meetings may be cancelled. This will leave you with some extra time on your hands. In such cases go back to your schedule and see if you can move some activities earlier or give yourself more time for the remaining activities of the day.

Take time at the end of the day to review your schedule. Ask yourself did I manage to get everything done? Did I allocate enough time for each activity? Remember practice makes perfect It may take a bit of time to get it right but as with all things with discipline and patience you will soon find that you will be able plan your whole week in advance.
